Volunteer Policy

Volunteers are the heart of our work. Whether you’re supporting a single community event or serving regularly throughout the year, your time, energy, and passion help make our mission possible. This Volunteer Policy outlines the expectations, procedures, and protections for all individuals volunteering with Legacy Leaver Foundation International, Inc., ("LLFI").

Volunteer Policy

Effective Date: March 2, 2025

 1. Purpose and Scope


This policy applies to all volunteers, including those who serve:

  • At one-time or recurring events

  • In ongoing administrative, leadership, or program-based roles

  • In-person or remotely

  • In partnership with external programs or as part of service-learning or court-appointed community service

It exists to promote a safe, respectful, and effective volunteer environment for all.

2. Volunteer Roles


Event Volunteers-Event volunteers assist with one-time or short-term engagements. Responsibilities may include but not limited to:

  • Event setup and breakdown

  • Guest registration and welcome

  • Welcome & Hospitality Team

  • Vendor and speaker support

  • Hospitality or meal service

  • Audio/visual or tech assistance

  • First Aid & Wellness Volunteer

  • Musician and Worship Team

  • Child/youth activities

  • Crowd coordination and safety

Ongoing Volunteers-These individuals serve on a recurring basis and may hold leadership or specialized roles such as:

  • Program facilitation or mentorship

  • Administrative or outreach support

  • Fundraising and donor engagement

  • Volunteer team coordination

  • Marketing or communications

  • Community development and advocacy

  • Educational Workshop & Training

  • Youth Programs

  • Leadership Development 

Roles are assigned based on interest, qualifications, and organizational needs.

 3. Volunteer Rights


As a volunteer with Legacy Leaver Foundation International, Inc. ("LLFI"), you have the right to:

  • Be treated with dignity and respect

  • Work in a safe, inclusive, and harassment-free environment

  • Receive appropriate training and support

  • Ask questions and seek clarification about your role

  • Decline tasks that make you uncomfortable or conflict with your values

  • End your service at any time with proper notice

4. Organizational Expectations


Volunteers are expected to:

  • Uphold the mission, vision, and values of Legacy Leaver Foundation International, Inc. ("LLFI")

  • Act with professionalism and integrity

  • Communicate respectfully with staff, volunteers, and community members

  • Arrive on time and notify supervisors of any schedule changes

  • Follow safety guidelines and confidentiality agreements

  • Report misconduct, abuse, or unsafe conditions promptly

5. Background Check Policy

To ensure the safety and well-being of all participants, especially minors and vulnerable populations, Legacy Leaver Foundation International, Inc. ("LLFI") requires background checks for:

  • All ongoing volunteers

  • Event volunteers serving in roles involving children, youth, safety, finances, or private information

  • Any position of trust, supervision, or repeated access to sensitive environments

All background checks are conducted in compliance with applicable local and federal laws. Results are treated confidentially and reviewed solely to determine suitability for specific volunteer roles.

A flagged result does not automatically disqualify a person. We understand that many individuals have grown beyond past mistakes and value redemption and restoration. Each case is reviewed individually and fairly, taking into account the nature of the offense, how long ago it occurred, and its relevance to the intended volunteer role.

However, to protect our community and in alignment with best practices:

  • Applicants with convictions for offenses involving children, sexual misconduct, or violent crimes will not be eligible for volunteer roles involving minors, vulnerable populations, or unsupervised access to others.

  • Other offenses may result in limited or conditional volunteer assignments.

  • Final decisions are made by our leadership team with an emphasis on community safety, legal compliance, and mission alignment.

If you have questions or concerns about how a past conviction may affect your eligibility, we welcome a private and respectful conversation. We are committed to transparency, fairness, and upholding both justice and safety.

6. Media and Photo Release Policy


By volunteering, you consent to the use of photographs, video footage, and audio recordings taken during your service by Legacy Leaver Foundation International, Inc. ("LLFI"), unless you opt out in writing before your participation.

These materials may be used for:

  • Promotional campaigns

  • Event recaps and highlights

  • Fundraising and donor reporting

  • Educational presentations

  • Social media or digital content

If you prefer not to be photographed or recorded, you must notify a team lead in writing before your shift and inform on-site staff upon arrival. While we do our best to honor these requests, some group or background appearances in public areas may not be avoidable.

For minors, parental or guardian consent is required for participation and media release.

7. Code of Conduct


All volunteers must follow the LLFI organization’s Code of Conduct. This includes, but is not limited to:

  • Treating others with kindness, respect, and patience

  • Avoiding discrimination, harassment, or bullying in any form

  • Refraining from using offensive language or engaging in inappropriate behavior

  • Wearing respectful, modest, and safe attire appropriate to your role

  • Abstaining from alcohol, illegal substances, or smoking while on duty

  • Following all event or program-specific rules and instructions

Volunteers who violate these standards may be subject to immediate dismissal from their role or barred from future opportunities.

8. Confidentiality


Volunteers may have access to confidential or sensitive information, including personal stories, client records, donor information, or internal organizational operations.

Volunteers agree to:

Protect all confidential information during and after their service

Not disclose any private information to unauthorized individuals

Ask staff before sharing stories or content involving others

Refrain from representing the organization publicly unless given express permission

9. Termination and Disciplinary Action


Legacy Leaver Foundation International, Inc. ("LLFI") reserves the right to dismiss any volunteer whose behavior:

  • Endangers the safety or well-being of others

  • Violates this policy or our Code of Conduct

  • Interferes with the mission or disrupts operations

  • Reflects poorly on the reputation of the organization

Dismissal may occur with or without prior notice depending on the severity of the issue. Volunteers also have the right to resign from their role at any time.

10. Agreement and Acknowledgment


By signing up or participating in volunteer activities, you acknowledge that you:

  • Have read and understand this Volunteer Policy

  • Agree to comply with its terms

  • Are offering your services voluntarily and without expectation of compensation

  • Understand that this policy may be updated periodically and that you will be informed of any changes

Volunteer Selection Disclaimer:
Submitting a volunteer interest form or signing up for a specific opportunity does not guarantee immediate placement or assignment. All volunteer roles are filled based on organizational needs, scheduling, qualifications, availability, and event capacity. While we deeply value every offer of support, we may not be able to place every applicant at the time of submission.

Legacy Leaver Foundation International, Inc. ("LLFI") reserves the right to determine the best fit for each opportunity and to decline or delay assignments at its discretion.
